What when2meet gets right
Credit where it is due. We walked through when2meet's create flow again in August 2026 to check every claim on this page, and the core experience has not changed:
- Creating an event is one screen: name, drag across dates (or days of the week), pick an earliest and latest time, and press Create. No email asked, ever.
- Participants just type a name (with an optional per-event password) and paint their availability.
- The group heatmap makes the overlap obvious: mouse over any cell and see exactly who is free at 2:15 on Tuesday.
The trade-off is the format itself. Everything in when2meet is an hour grid. Even in "days of the week" mode you vote on time blocks, and the grid slices your chosen window into 15-minute cells. Voting on two full weeks means painting hundreds of cells, or dragging carefully and hoping you did not miss a column. It is also a click-and-drag interface from the desktop era; on a phone it works, but nobody enjoys it.
when2meet is free, supported by donations and third-party ads. On our visit, every page carried a Google ad banner, and the cookie consent dialog asked to share data with 210 ad partners. That is a fair price for a free tool, but it is part of the experience your invitees get.

Is when2meet free?
Yes. It is supported by PayPal donations and by third-party ads shown on every page (both verified on the live site, August 2026). There is no paid tier and no account system.
Does when2meet work for choosing a day, not an hour?
Only indirectly. Every when2meet poll is a time grid. You can stretch it from 0:00 to 24:00, but voters still paint 15-minute cells rather than saying "Saturday works for me". If the day is the actual question, a day-level poll is faster for everyone.
Is Best Day To Meet free too?
The core product is free: create Events, share links, and collect votes without an account or a card. An optional Pro tier (a subscription, or a one-time unlock for a single Event) adds Date Options mode, multi-day Events, the comment feed, and branding removal.
Do my invitees need to install or sign up for anything?
No. They open your link in a browser, type a name, and vote. That is the same promise when2meet makes, and we kept it deliberately.
Can people change their vote later?
Yes. Each Participant's answer stays editable from their browser until the Event is locked or the voting deadline passes.
What happens after the group picks a day?
You lock the Event and export an .ics calendar file, so the result ends up where it matters. In when2meet, the heatmap is the end of the road; moving the answer to a calendar is up to you.
